Executive Assistant II
Position Overview
Provide analytical and administrative support to the Executive and operate under minimal supervision. Report to an Executive (Vice President or above).

- Provide analytical and administrative support to the Executive and the department Directors as needed
- Draft, edit, and proofread letters, memos, and other correspondence and reports
- Manage primarily large size projects from a full project coordination perspective and participate in determining objectives of the assignment
- Independently plan schedules and arrange activities in order to accomplish objectives
- Prepare and organize information, including research for weekly, monthly, quarterly, and yearly presentations
- Manage Ringi (Project Approval Process) generation as needed to facilitate creation of and routing for comments/approvals, including check requests, invoices and other financial documentation as directed
- Compile and maintain standard reports
- Organize meetings, webinars, and conference calls with both internal and external participants, to include meeting notes and action item follow-up on behalf of the Executive
- Coordinate logistical support for meetings and customer visits
- Assist the Executive with email organization and staff calendars
- Manage expense reports and travel itinerary for the Executive and the department Directors as needed
- Assist and direct visitors and vendors as needed
- Manage general office supply inventory/distribution and business card orders
- May monitor work of other administrative staff members, including monitoring projects
- Demonstrate familiarity on where to find company information (e.g., CCN – MicroVention Intranet) and the ability to identify Associate(s) roles and responsibilities in the organization
- Demonstrate strong business acumen and a solid understanding of MicroVention’s core business (Operations, R&D, and Commercial)
- Demonstrate the understanding and flexibility associated with working with diverse cultures and different time zones
- Comply with applicable Laws and Regulations, adhere to Quality Management System processes and requirements as well as demonstrate Ethics and Integrity in all matters and at all levels throughout the organization
- Perform additional duties as assigned

Salary Range:
$90,000 - $95,000 Financial compensation packages may be higher or lower than what is listed, and will ultimately depend on factors including relevant experience, internal equity, skillset, knowledge, geography, education, business needs and market demand
- Qualifications and Requirements
Required Qualifications- Bachelor’s degree or equivalent combination of education and experience
- A minimum of eight (8) years of progressive administrative support experience
- Excellent written and verbal communication skills
- Advanced proficiency with Microsoft Office products and working knowledge of SharePoint
- Must have a current notary license
- Must be in the office four (4) days/week, with a rotating schedule to work some Fridays
- Excellent attention to detail and ability to work autonomously
- Excellent organizational and project coordination ability
- Ability to maintain strict confidentiality and discretion at all times
- Ability to operate with high degree of independence
- Ability to interact effectively with all levels, both internally and externally
- Capable of making decisions of high importance in the absence of the Executive
- Excellent negotiation skills on matters of significance where impact/risk is critical
