Sr Specialist, Sales Administration - APAC

Position Overview

Support the execution of regional commercial and operational activities across Asia Pacific. Responsible for coordinating event operations, compliance administration, workshop logistics, payment tracking, conference execution, and regional administrative processes to ensure timely, compliant, and efficient execution of business activities. Act as a central coordination point across Commercial, Clinical, Marketing, distributors, and internal stakeholders while maintaining clear ownership boundaries and enabling execution efficiency across the region.

Job Duties
Regional Event & Compliance Administration
  1. Coordinate HCP Event Tool submissions and maintain supporting documentation
  2. Track submission progress and approval timelines
  3. Liaise with Compliance and internal stakeholders to ensure requirements are fulfilled
  4. Maintain audit-ready records and document retention
Workshop & Training Operations
  1. Coordinate end-to-end logistics for workshops and training activities
  2. Manage venue coordination, travel arrangements, accommodation, and onsite readiness
  3. Monitor execution milestones and ensure timely completion
  4. Support post-event closure activities
Financial & Administrative Coordination
  1. Track honorarium payments and event-related expenses
  2. Coordinate with Accounting and relevant stakeholders to ensure timely processing
  3. Maintain payment trackers and supporting documentation
  4. Support budget tracking and reconciliation activities
Conference & Distributor Coordination
  1. Coordinate congress logistics and booth readiness
  2. Track timelines, materials, and execution milestones
  3. Support distributor execution planning and follow-up
  4. Support onsite coordination where required
Regional Commercial Administration
  1. Maintain regional activity trackers and execution dashboards
  2. Consolidate status updates and action logs
  3. Track deadlines and support closure of operational deliverables
  4. Maintain documentation and regional records
Administrative Support
  1. Support travel arrangements and meeting coordination
  2. Prepare standard reporting and maintain organized filing systems
  3. Provide administrative support for regional business activities
General Responsibilities
  1. Comply with applicable Laws and Regulations, adhere to Quality Management System processes and requirements, and demonstrate Ethics and Integrity at all levels throughout the organization
  2. Perform additional duties as assigned

  • Required Qualifications
    1. Bachelor’s degree in Business Administration, Operations, Marketing, Communications, or related field
    2. Minimum five (5) years of experience in sales administration, commercial operations, event coordination, or business support
    3. Strong project coordination and stakeholder management capability
    4. Strong organizational and execution skills
    5. Strong written and verbal communication skills
    6. Proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook, Teams, etc.)

    Desired Qualifications
    1. Experience supporting regional commercial organizations
    2. Experience in healthcare, medical devices, or regulated industries
    3. Exposure to event coordination and cross-country operations
    4. Familiarity with compliance processes and documentation management

    1. Extended periods of computer use
    2. Extended periods of sitting, standing, or speaking
    3. Light lifting, up to 10 kg
    4. Regional travel within Asia Pacific as required, approximately 25%
